Conference Management Software

Our conference management software allows the operator to manage the conference efficiently from the start of the meeting to the post-meeting write-up. With the application software connected to the Fully Digital Conference System (FDCS), the operator can manage all aspects of the conference centrally.

Microphone management

This module allows an operator to take control of the microphones in a meeting remotely from either a touch screen panel or with an easy click-of-the mouse.

The module transforms event venues into an intuitive, graphical and manageable interface as a base for future reference. Self-design background image and color, support for any sized picture, comprehensive conference information management tool for clear and simple management. Includes conference title and meeting information.

  • Microphone control: combined with venue design, seating arrangement, delegate management, conference management and microphone setup, for controlling and monitoring current microphone status, as well as automatic video tracking
  • Microphone on/off control, and ability to close all active microphones
  • Approve/deny delegates’ speaking requests, and delegate speech timing and recording

Voting management

As a core component of our conference management software, our voting management software module includes delegate management, multiple voting, and multi-proposal voting, as well as seat arrangement and delegate management submodules.

The voting management software is a comprehensive, user-friendly electronic voting module for managed settings that require the reliability of an integrated system. This software accurately tracks, records and simultaneously displays voting results instantly.

  • Parliamentary voting (yes, no abstain)
  • Other voting formats available (e.g. multiple choice)
  • Register mode: nominative vs. ballot. Can create spreadsheets containing the names of voting participants and their vote
  • Display voting results to audience screens
  • Control modes: chairman control/operator control/time controlled voting

  • Multiple voting facilities available, suitable for various conference voting, including: for/against, parliamentary (yes/no/abstain), questionnaire (1/2/3/4/5), audience response (–/-/0/+/++), parliamentary NPPV (yes/no/abstain/NPPV), appraisal (perfectly satisfied/satisfied/basically satisfied/unsatisfied) or simply (satisfied/unsatisfied).

Video tracking management

This module allows an operator to control the cameras in a meeting from either a touch screen panel or with an easy click-of-the mouse.

Our video tracking management module carries out automatic video tracking when cooperating with the camera and video switch unit. The module eliminates the need for manual operation of each conference camera, making it particularly useful for hybrid meetings where participants are joining proceedings remotely.

  • Set up video matrix: set input/output channels for computer, camera and other video apparatus according to the connections between video equipment and video switch unit
  • The configuration can be sent to the Congress Main Unit for synchronization
  • Video switch: switch among different input and output video signals according to the video matrix
  • Camera preset: cooperating with microphone management module to set and adjust the camera preset for each seat/microphone and to transmit speaker’s video picture simultaneously to a hall display
  • Camera control: preset the panorama of the conference venue.
  • Carries out automatic video tracking when cooperating with camera and video switch unit

Video recording management

This module allows an operator to control the camera recording in a meeting from either a touch screen panel or with an easy click-of-the mouse.

Our digital HD video recording management software module works on a dual-core processor/4G or higher/discrete graphic card/1440 X 900 (better)/DirectX 9.0 or higher running environment. With this easy-to-use module, professional audio and video recorders can realize functions of video preview, video and record playback, meeting and management download, etc.

  • Preview, playback, and download the meeting’s video and audio files
  • Includes screen layout, preview, video record, meeting record playback, information management and meeting download: screen layout, layout of multi sub screen, 4, 6, 8 or 9 sub screens
  • Support search by meeting, room or time, etc
  • Playback video channel is operational for all channels or any one channel
  • Supports play/lull, stop, quick play and slow play.
  • Video display is adjustable, 4:3 or 16:9
  • Information management: set up the connection of conference devices and synchronize meeting information from DVR to PC
  • Select the partition time (10 min, 30 min, 60 min, 90 min, or 120 min) as stated capacity to partition the file into some sections to save
  • Record: record meeting video manually; if having connected to DCS, record starts when meeting starts
  • User-defined information by time, defined a new event from the selected conference by setting up the start time and end time.

Simultaneous interpretation management

This module allows an operator to control the simultaneous interpretation systems in a meeting from either a touch screen panel or with an easy click-of-the mouse.

From the conference software interface, the simultaneous interpretation channels can be set up and managed, as well as the interpreter booths and the booth IC-Card.

  • Simultaneous interpretation channel setup
  • Ability to set the channel number and language for each channel and save it in the database
  • Ability to set the language and its abbreviation
  • Ability to send the configuration to the congress main unit for synchronization
  • Displays the congress main unit configuration on the window.
  • Set up the interpreter booth(s), including the number of booths, and save this information to the database
  • Set the outgoing for channel A, B and C for each booth, and the auto-relay booths for each interpreter booth
  • Assign the interpreter booth afresh after booth combining
  • Manage the interpreter booth: synchronously control and communicate with the interpreter booth during the meeting
  • Set up the booth IC-Card: booth use or do not use IC-Card, set IC-Card password and write IC-Card.

Congress Matrix™

TAIDEN’s new generation, proprietary CongressMatrix™ technology offers the first conference system to integrate an nx8 audio matrix processor, providing eight discrete audio outputs to eight microphones. The congress main unit enables connection to a multi-channel independent PA system (up to eight channels).

Operators are able to selectively assign units to any number of outputs, and create unique mixes for audio destinations based on conference needs. This is especially useful for combining and separating conference rooms. Connecting to external multichannel audio devices grants versatile expansion of the system.

  • 2 audio lines in (analog, digital, Dante) or 1 audio line in (analog, Dante) + 1 microphone input, gain and EQ for each input adjustable separately. +24 V phantom power supply at microphone input, condenser microphone can be connected directly.
